HIPAA

Q: Does it really matter if whoever works on our technology is HIPAA compliant or even knows the specifics of HIPAA?
A: Yes. Because most IT service techs will need to work on equipment which may store or have access to protected health information (PHI), they will automatically classify as a HIPAA Business Associate (BA). Business Associates must have a Business Associate Agreement (BAA) on file with the business - Covered Entity (CE), and the BA must have an internal HIPAA compliance program which meets all the required standards of the HIPAA regulation. Additionally under certain situations, if your vendor provides services to the business using sub-contractors, for example a data storage sub-contractor for storing your backups, these sub-contractors may be required to have a sub-BAA with your vendor and must also be HIPAA compliant. It's important your vendor understands all of HIPAA's requirements.

Q: What services are included with a managed HIPAA compliance program?
A:
 Everything necessary to be in compliance. Services include the guidance and/or support for performing the annual and periodic risk assessment, new or reviewed policies and procedures and the required action plans, workforce training and testing, incident investigations, and annual and periodic reviews.

Q: Do small businesses really have to be worried about being audited for HIPAA compliance?
A: Oh, yes. There are many reasons businesses of every size have to be concerned about HIPAA enforcement. First and foremost it's the law and no one knows when during the course of doing business, non-compliance can come up. But there are other examples which include random audits, suffering a cyber attack which requires reporting to regulators, and customer complaints can also launch an investigation and/or audit.

Q: What services are included with a Managed Services program?
A:
 As much or as little as the business needs. Typically, items included are cybersecurity (firewalls, anti-malware, staff training and education, etc.), computing network management (wired and wireless network monitoring and support, connectivity, etc.), telecommunications (telephone systems, configurations, etc.), office technology (copiers, faxes, etc.), application support (email, document management, user management, security, etc.), contingency planning and disaster recovery (backups, incident response, etc.).

Cybersecurity

Q: Do small businesses really have to be worried about suffering a cyber attack?
A:
 Unfortunately they do. Why? Today's cyber attacks are mostly automated. They happen via email or computer malware. These robot-like attacks are launched every minute targeting millions of users. Anyone on the Internet or with access to email can compromise your business' network and customer information. Additionally, studies have shown that employees may be too embarrassed or afraid to report that they've fallen victim to an email scam or trick. This behavior can really put the business in a dangerous situation.

Q: What does being hacked or cyber-attacked look like?
A:
 Attacks and the damage they cost take many forms. A business' computer whole computer network becoming inaccessible or data unknowingly being siphoned off are just a couple of the potential adverse affects of a cyber attack. For businesses, some security incidents (attacks) are considered a "reportable" event to regulators. In all situations mitigation and cleanup will take significant time and resources. Prevention along with recovery planning are the best defense.

Q: Our business has staff that works from their home or from outside our offices. Do you help protect our business in this situation?
A: We can try. There are tools available to limit the business' exposure to threats from external networks. Virtual desktops, cloud computing options, workforce awareness and training, and systems and network monitoring are just a few of the options available to limit cyber threats from remote workers.

A:
